Boeing Global Services (BGS) organization is seeking a talented Office Administrator (Level C) to support multiple Government Training Engineering (GTE) Executives in Hazelwood, MO. In this role, the focus will be on supporting executives with full service for all elements of travel, schedules, day to day office support, and coordinating events. We are looking for a teammate with initiative, a positive attitude, and strong teaming skills that can work well in a fast-paced environment.
Duties will include (but are not limited to) for multiple director level managers:
Coordinates and processes domestic and international business travel arrangements
Monitors designated business traveler's logistics
Generates expense reports and assists in reconciling corporate credit card charges to ensure timely and accurate reimbursement and verifies payments to corporate credit cards
Collects and compiles data to provide visibility of status for traveler's review and/or signature
Verbally communicates a wide variety of information to multiple audiences
Prioritizes and schedules executive level time and availability for efficient use of time
Proactively manages and maintains executive calendars, coordinating with other supporting OAs and creating meeting notices as appropriate, rescheduling and deconflicting as appropriate
Tracks and maintains designated conference room schedules for availability and efficient use of resources
Orders and maintains office supplies and accessories when needed
Plans and implements logistics for executive level internal and external events (i.e. conference rooms, food and drinks, computing equipment, etc.)
Other less frequent tasks may include:
Coordinating visitor requests
Manage correspondence (email, letters, packages, etc)
Provides guidance for less experienced employees
Complete Classified Visit Requirements, Incoming
Maintain Group Calendars
Completer EHADs, Visa, Passport, etc for International Travel Compliance
Maintain Distribution Lists
This position allows telecommuting. The selected candidate will be required to perform some work onsite at one of the listed location options.
The position must meet Export Control compliance requirements, therefore a “US Person” as defined by 22 C.F.R. § 120.15 is required. “US Person” includes US Citizen, lawful permanent resident, refugee, or asylee.
Basic Qualifications (Required Skills / Experience):
Experience using basic Microsoft Office and office computing systems
Work experience in an Administrative Assistant, Executive Assistant or Office Manager role
Experience working in a fast-paced customer service related environment
Preferred Qualifications (Desired Skills / Experience):
High school diploma; Bachelor’s of Science / Bachelor’s of Arts in Office Administration or relevant field
Experience and/or ability to work with sensitive information, safeguarding confidential information
Typical Education & Experience:
Education/experience typically acquired through basic education (e.g. High School diploma/GED) and typically 4 or more years' related work experience or an equivalent combination of education and experience (e.g. vocational school/Associate+2 years' related work, Bachelor, etc.).
Relocation assistance is not a negotiable benefit for this position. Candidates must live in the immediate area or relocate at their own expense.

Summary pay range: $56,100 – $75,900
