Boeing Defence UK (BDUK) is a subsidiary of the Boeing Company and currently employs over 1,500 people in the UK. BDUK is responsible for delivering several exciting contracts to our UK defence customers including many training services. As the company grows we have a need to expand our E7 programme support. This is an exciting time to join a growing team of training experts
The Project Admin will be based at RAF Lossiemouth. The role will support the construction element of the infrastructure project being delivered to support E7. You will be working in a highly regulated and safety conscious environment and as such everything you do will be to the highest standard and always in compliance with company procedures and applicable regulations.
Responsibilities:
- Provide full administration support to the BDUK E7 infrastructure site based project team
- Support operations at RAF Lossiemouth
- Full administration control of the E7 Infrastructure office environment in compliance with BDUK office standards
- Delegated facility security officer
- Ensure that all employees have associated clearances and badge access to the site office accommodation and RAF Lossiemouth. This also includes acting as escort where necessary
- Monitor works contractor and monitor HSE and QA
- Work with the Construction Manager to administer the NEC3 contract in a timely manner with the employer and works contractor
- Ensure that meetings are scheduled with calling notices, meeting agendas and distribute minutes
- Draft entries on the NEC3 contract management tool on behalf of the PM
- Delivery of 4Cs training
- Data management of plans, drawings, designs and photographs via the data management tool
- Monitor works contractor progress against programme
- Maintain the project directory to provide excellent communication to all stakeholders within the project
- Support the operation of the E7 Infrastructure office and all associated tasks
- Monitor and provide weekly security reports to the station on access to the construction site
- Reporting - meeting coordination, drafting of minutes and reports
Work Authorisation:
This requisition is for a locally hired position in the UK. Candidates must have current legal authorisation to work immediately in the United Kingdom. Boeing will not attempt to obtain Immigration and labour sponsorship for any applicants.
Benefits and pay are determined at the local level and are not part of Boeing U.S. based payroll.
Security Clearance: This position requires the ability to obtain a UK security clearance (SC) for which UK residency is required. All information will be checked and verified.
Qualifications:
- Experience in coordinating teams of people to deliver results
- Confident with conducting presentations and running meetings/workshops
- Proficient user of MS Office applications, including Excel and SharePoint
- Business experience desirable with an ability to present data effectively
The successful candidate will:
- Takes responsibility and leads the provision of Project support to the programme
- Support to programme meetings and scheduled customer reviews
- The lead role for monitoring security and liaison with the station on this important aspect of the project, in addition co-ordination of all project meetings, PMM, PMR , updating BORIS, supporting the Project Managers /Supervisor with site visits
- Data Management and control
- Liaison with SCM in receipting invoices
- Assists in the development and integration of programme plans, strategies and processes to meet the programme business goals
- Supports the programme Team with Identifying potential Risk, Issues and Opportunities (RIO), developing mitigation plans, and managing them within the Boeing RIO Management tool (BORIS)
- Collects, organizes and provides data according to established processes within the management system to maintain status of the programme, customer and supplier commitments and compliance
- Supports the coordination of the commitments with internal and external organizations to fulfil strategies and meet the long range business plan
