Boeing Defence UK is seeking a highly motivated, creative and digitally-savvy Operational Assistant.

You'll be an effective communicator with a professional but friendly approach and will be required to operate at a high level of discretion and confidentially. You should be comfortable and experienced in liaising with both Managers and Directors and able to deliver messages and directives clearly and concisely.

Position Responsibilities:

  • Provide high-level administrative support to the Director, including: diary management; inbox management; processing and managing expenses; organising travel and organising meetings.
  • Provide high-level administrative support to the Business Unit/Function, including: governance (e.g. organising organisation’s meetings such as BPRs; record keeping (e.g. management of business sharepoint); organising specific Business Unit/Function meetings and events; ensuring organisation charts and induction materials are up to date.
  • Communication Management: Serve as the primary point of contact for internal and external collaborators, representing the Director/Function and maintaining a positive and efficient flow of communication. Manage email correspondence and handle inquiries on behalf of the ED, mainly acting independently.
  • Information Management: Proactively collating relevant documents. Ensure information is organised, easily accessible, and kept confidential when necessary.
  • Meeting Coordination: Plan, schedule, and coordinate executive-level meetings, visits and events. Prepare meeting agendas; book meeting rooms; organise catering; collate and distribute relevant materials; take accurate meeting minutes and disseminate in timely manner; and follow up on action items to deadlines as required.
  • Relationship Management: Cultivate and maintain positive relationships with internal staff and external stakeholders. Coordinate meetings, conduct research, and prepare briefing materials to support effective interactions.
  • Confidentiality and Discretion: Handle sensitive and confidential information with utmost professionalism and always maintain strict confidentiality.
  • Support coordination with BDUK office, including involvement in corporate business planning activities.

Please Note: The successful candidate will be expected to undergo BPSS/SC clearance for this position.

Basic Qualifications (Required Skills/Experience):

  • Highly effective communicator
  • Outstanding organisational skills
  • Meticulous attention to detail
  • Experienced using Microsoft applications such as PowerPoint and Excel

Location

The primary location is Bristol, with the general expectation of minimum 4 days a week in the office to foster collaboration and team efficiency.

Relocation:

This position does not offer relocation. Candidates must live in the immediate area or relocate at their own expense.
